Prepare the Word source
Accept or reject tracked changes, remove comments that should not be published, and apply Word's Heading 1 and Heading 2 styles to genuine chapter divisions. Keep a copy of the editable DOCX and avoid uploading a password-protected file.

Caliber reads the DOCX package and builds EPUB content documents, metadata, styles, and navigation. A manuscript with many images or intricate tables can take longer because those parts must be translated into ebook-friendly flow.

Proof the reading edition
Open the EPUB in the target reader and check the contents menu, chapter starts, lists, links, images, footnotes, and any page that used columns or text boxes. Fix the DOCX source and repeat when the structure is wrong rather than manually patching a generated book as the first choice.
How it works
DOCX is an Office Open XML package. Its XML parts describe paragraphs, runs, styles, relationships, and media, while the Word application uses those instructions to make pages. EPUB uses a different package model: its XHTML documents hold the content, a manifest lists resources, a spine defines reading order, and a navigation document feeds the reader's contents menu. Caliber reads the first model and writes the second.
That translation rewards a well-structured manuscript. A paragraph assigned Heading 1 is evidence of a chapter boundary. A line that is merely 20-point bold text may look like one to a person but carry no equivalent semantic signal. Applying styles before export is therefore more valuable than adding decorative formatting. It gives the converter and later editors information about what the document means.
What reflows well
Continuous prose is the natural case. Paragraphs, emphasis, ordinary hyperlinks, ordered and unordered lists, and many inline images can be placed into a sequence that works across screen sizes. Readers can enlarge the type without forcing every sentence to stay on the original Word page. A chapter outline built from real heading styles can also become navigation, which is more useful than a printed contents page copied as ordinary text.
Reflow changes the visual contract. A table that fit on a landscape Word page may need smaller text, horizontal scrolling, or a different treatment in the ebook. A footer that repeated on every printed page is usually not meaningful in a flowing chapter. Headers, page numbers, and decorative rules should be considered publishing furniture, not guaranteed content. If a number or warning is semantically important, put it in the body with an explicit label before converting.
Protect the source of truth
Use the DOCX for editorial work and the EPUB for reading and delivery checks. Inspect the opening, the contents menu, a chapter with a list, an image caption, and the most complex table. Test links and search for a phrase containing an accented character. Then open the book at a different font size. A successful package can still expose a bad chapter break or a callout in the wrong order, so validation should include the reader experience rather than only the fact that the file opens.
The conversion is not a DRM tool and does not create publication rights. Only use a DOCX you are allowed to transform, and do not expect an encrypted or protected source to become readable by changing its extension. For a print-perfect deliverable, keep using PDF; for an editable manuscript, keep using DOCX; for portable reading, this EPUB route is the useful middle step.

This is a strong source because its outline is semantic rather than visual. The reader can resize type and the chapter menu is useful, although the Word page numbers and line endings naturally change in the ebook layout.
A training workbook with positioned callouts
The lesson text remains portable, but a box placed beside a paragraph in Word may become a block before or after it. Removing comments before conversion also prevents editorial discussion from becoming part of the learner-facing edition.
Frequently asked questions
Does the EPUB remain editable like the DOCX?
No. EPUB is a packaged reading format containing XHTML, CSS, images, metadata, and navigation, not a Word editing document with the original Office model. Some ebook tools can edit its files, but that is a different workflow and may damage the package. Keep the DOCX as the source of truth, make revisions there, and regenerate the EPUB when the manuscript changes.
Will Word formatting and page layout stay identical?
No. EPUB is normally reflowable, so page breaks, margins, line wrapping, headers, footers, and page numbers do not map directly from Word. Paragraph styles, basic lists, links, ordinary tables, and inline images usually have useful equivalents. Floating shapes, text boxes, columns, SmartArt, elaborate borders, and exact print design need a visual check because their positions may be simplified.
What happens to comments, tracked changes, and macros?
Comments and Word's editing history are not a dependable part of a reader-facing EPUB, and macros cannot run inside one. Tracked changes should be accepted or rejected before conversion so the visible manuscript is intentional. The tool does not unlock a password-protected DOCX or remove document protection. Review the generated chapters and metadata, then retain the original for future edits.
